Reply to Correspondence

It is important to know that when receiving correspondence as an elected member, you are receiving the correspondence on behalf of the City of Greater Dandenong and all correspondence addressed to the City of Greater Dandenong must be recorded.

The easiest way to identify if something has been recorded is if it comes to you without an envelope and the letter is date-stamped. If the letter is still sealed in an envelope it will not have been recorded. If you are unsure, please speak to Jo Thorn.

Once a letter has been recorded, Council’s Service Charter comes into play. Council’s Customer Service Guarantee states that all recorded correspondence that originates in Records must be replied to within 10 working days.

If you receive threatening mail, then you must contact the Chief Executive Officer immediately so appropriate action can be taken.
