As a Councillor, it is more than likely that you will hold many meetings with external guests at either the Dandenong or Springvale Offices.
For the safety of Councillors, staff and your visitors, and in accordance with Council’s commitment to provide a healthy and safe working environment, all external guests must be signed in at Customer Service and receive a visitors tag.

It is also important that all Councillors and staff wear their ID Tags when in the building. This helps identify who should or shouldn’t be in the building for security reasons.
Please find below information that your visitor(s) must be made aware of:
Visitor and Building Security Procedure for Springvale and Dandenong Municipal Offices
- All visitors (for contractors see specific procedure) to council offices shall enter and leave the premises via the Customer Service Centre
- Customer Service Centre staff shall ensure that all visitors’ attendances are recorded in the visitors’ register
- All visitors will be issued with a vistor’s tag appropriate to the nature of visit and length of stay
- Building Maintenance will require three days prior notice to supply an access card.
- Customer Service Centre staff will advise the appropriate department or officer that the visitor has arrived in the Customer Service Centre
- The officer or department being visited shall greet and escort the visitor from the Customer Service Centre and return with them at the conclusion of the visit
- It is the responsibility of the officer to ensure their visitors are wearing an appropriate identification tag at all times during the visit and that the tag is returned to the Customer Service Centre at the time the visitor is logged out
- The officer being visited is responsible for their visitors’ actions whilst on council premises
- In the event of an emergency or evacuation, visitors are to comply with directions given by building emergency staff and the officer being visited
- Staff are responsible for maintaining the security of their workplace by ensuring security doors and windows are kept closed at all times
- Any person observed on the premises without an identification tag must be escorted to the Customer Service Centre
Information to be Supplied to Visitors
- Any emergency arising during their visit must be reported by telephone to our Customer Service Centre on ext. 1400
- Smoking is not permitted within council buildings or vehicles
- If the need for a building evacuation arises, the visitor must follow all instructions given by emergency staff (identified by wearing a safety helmet) and go with council employees to assembly points as directed and remain until otherwise directed
- Report any observation of unsafe conditions to the party being visited
After Hours Building Procedure - Escorting Visitors from the Building
- Customer service staff close and lock front doors at both Dandenong and Springvale offices at 5pm each night
- Any customers in the building after 5pm are the responsibility of the business unit they are visiting
- If you have visitors in the building after 5pm, please ensure you personally escort them from the building through either: front doors (ensuring that you have securely locked both the exterior and interior doors after visitors have exited), a back or side door (ensuring that door is closed behind visitors)
