The Governance team has been preparing one of the year’s largest Council Meeting agendas, including the adoption of the Council Plan, Budget and key strategic documents for considering on Monday 23 June. We're also reviewing Delegations and streamlining guidelines, strategies and policies.
Delegations Review Underway
Governance is reviewing Council’s delegations to meet requirements under the Local Government Act 2020. This update addresses changes in roles and titles that have impacted efficiency. Managers or their delegates will assess current delegations and ensure staff understand their responsibilities. Updated records will be stored in RelianSys, with training provided to support the transition.
For any questions regarding the review process, staff are encouraged to reach out to April Seymour, Senior Governance Officer for clarification.
RelianSys Enhancing Governance Insights
RelianSys improves efficiency and consistency in Governance, Legal, Risk and Council priorities through powerful dashboards and reporting. Incident Reporting will migrate to the platform in 2025–26, with the Risk Register starting in July 2025.
Council is trialing RelianSys across several Service Units, with some registers already in use. In June, the Audit module replaced the Compliance module for Internal Audit reporting to ET and the Audit and Risk Committee. Council departments may also use it to capture other assessments and reviews.
The Monitor modules for Risk, Incident Reporting and Policy Management automate manual processes, offering a consistent platform for tracking and reporting tasks. The modules include a new incident register for privacy breaches and make it easy to generate data on action status, close-outs and escalation.
Advancing Child Safety Across Council
The Child Safety Working Group has been re-established with representatives from multiple teams to enhance Child Safe Standards implementation.
Updated child safety information and resources are now available on The Source. Staff can book Child Safety Leadership training via Pulse. Child Safe Assessment Workshops are being piloted unit by unit to aid practical implementation. Teams should regularly include Child Safety in agendas, with toolbox talk resources being developed.
Privacy is everyone’s business—make it yours!
Council is committed to protecting personal and public sector information under the Privacy and Data Protection Act 2014. This includes names, contact details, sensitive data and even location information from mobile devices.
To strengthen our privacy practices, Governance, Legal and Risk are developing an Information Asset Register.
This will help:
- Reduce privacy and security risks
- Improve how we manage information
- Assure the public that privacy matters
- Assess risks in case of data breaches
